Chemilines Group is a successful international distributor of pharmaceuticals,
generics and branded fragrances. We are also manufacturers of surgical dressings
and medical devices.
Purpose of Role
The European Buyer will work closely within the Purchasing Team to optimise
the overall purchasing performance for the business with a specific remit on
supply from designated EU countries and worldwide. He/she will lead the Parallel
Import (PI) category and ensure the company has the most updated quality range at
competitive prices to meet customer requirements.
Role Responsibilities
- Source products competitively from EU suppliers and alternative sourcing opportunities throughout the UK, with consideration to cost, availability and continuity of supplies (to avoid shortage)
- Maintain the integrity of the supplier (including their products) information within the company’s database systems, (primarily Navision) and contribute towards the optimum efficiency of the Navision process
- Monitor purchase orders to ensure these are modified to meet changes in specifications or requirements and are delivered at the correct time and at the best prices
- Organise and manage up-to-date lists of suppliers and pricing arrangements to ensure the best commercial terms
- Maintain records of current outstanding orders and part deliveries fulfilled, so as to understand, at any time, the unfulfilled purchase orders’ position of the business
- Maintain records of:
- stock usage through sales
- economic reorder quantities
- lead times from suppliers and other supplier performance information
- supplier spreadsheets to ensure price lists are correct and up to date
- Liaise with the sales department on a regular basis to ensure stock turn is maintained, minimise out of date product and provide excess stocks information
- Check existing stock levels and calculate future purchasing needs based on recent sales usage (including the right mix of products to receive volume and margin)
- Work cooperatively and effectively with the Regulatory Affairs department in all matters of licensing new products
- Work cooperatively with suppliers to ensure an effective and productive operation throughout the whole purchasing process
- Sourcing new suppliers on a continual basis
- Ensure that credit owed and due to suppliers and customers are received on time
- Possess an excellent market understanding and be aware of any relevant changes (ECMA number changes, price changes and new product launches)
- Report any significant supply problems to ensure that departments and functions are kept aware of any potential issues
- Excellent rapport by travelling to and having regular contact with suppliers to maintain and strengthen the relationship in order to create loyalty, receive better prices and payment terms and foster information sharing
- Monitor the performance of suppliers and products to ensure that standards are met based on time, delivery, quality, quantity and cost of suppliers
- Conduct research on new products and licenses (prices, availability and usage)
- Ensure orders are placed in a timely and accurate manner, to ensure stock is received in advance of being required
- Liaise with the Goods-In and production departments to update them of incoming deliveries, to ensure production planning is on track and accurate
- Follow Just in Time (JiT), in order to optimise the delivery of the product and follow up to ensure that the pre-agreed stock arrives on time
- Ensure all administrative tasks relating to buying are completed in a timely, accurate and consistent manner
- Prioritise the labeling of products in line with sales requirements or individual specifications
- Develop and support the growth in the company’s export business, including the setting up of the supply chain
- Liaise with other departments, notably Sales, Finance, Production and the Warehouse
- As required, undertake purchasing and contract labeling requirements for other group companies
Essential Experience, Skills and Abilities
- Fluency (written and spoken) in other EU languages, apart from English (e.g. Polish, Greek, French, Italian, etc) would be highly advantageous
- Excellent attention to detail and understanding of purchasing and stock control
- Knowledge and experience of the pharmaceutical market, ideally within PI and generics
- Proven excellent negotiation and customer service skills displayed within a similar role
- Highly numerate and analytical in a commercially oriented manner, specific to the pharmaceutical market
- Proven ability to work cooperatively and effectively with other departments, notably Regulatory Affairs, Sales and Logistics
- Proven ability to work to clear procedures and SOPs to ensure that all administrative tasks relating to buying are completed and documented in a timely manner and in accordance with regulatory requirements
- Excellent understanding and knowledge of Microsoft Excel applied within a work environment
- Intermediate knowledge of the Microsoft Office Suite (Word, Outlook and PowerPoint) applied within a work environment
- Possess an intermediate understanding of marketing and telesales within a pharmaceutical environment (ideally within PI and generics)
- Excellent written and verbal communication skills (including presentation skills)
- Excellent sales and interpersonal skills

- The roleholder must demonstrate flexibility within the role as required by the needs of the business meetings with suppliers, travelling to Europe and to cover for colleagues’ holiday or absence (when required)
